• 1) Can reception book, reschedule, and mark no-shows in under a minute during peak hours?

• 2) How fast can a doctor complete a typical follow-up note?

• 3) Are bills generated from the same visit record, or re-typed separately?

• 4) What roles and permissions exist for doctors, reception, and accountants?

• 5) Can we run multiple doctors and specialties without calendar chaos?

• 6) What is included in onboarding, training, and ongoing support SLAs?

• 7) Who owns the data, and in what formats can we export it?

• 8) How does pricing change when we add doctors, branches, or users?

• 9) Does the system support WhatsApp/SMS reminders and patient communication?

• 10) What happens during downtime, and how often do you release updates?

How to score vendor answers

Create a simple 1–5 score per question and weight the top five for your clinic type. A single-doctor practice may weight consultation-note speed highest; a polyclinic may weight multi-doctor scheduling and RBAC.

Reject vague answers on data export and pricing escalators. Those become painful only after you are locked in.

Pilot before you commit

A one-week pilot with real appointments reveals more than a two-hour demo. Track average check-in time, consultation-note completion time, bill generation time, and staff sentiment. If numbers do not beat your current process, keep looking.
